
Collecting Guest Information:
Innkeeper Tools is integrated software that shares information between the different tools. When a guest books a reservation online, their contact information is automatically collected and stored in the Guest Management Tool. Once there, you will never have to enter this information again. For returning guests, use the filtering tool to find the guest and go to their "Contact Information" tab and click the "Create Reservation" button. The guest's contact information will be automatically entered into the new reservation automatically for you. Invoicing is a breeze, go to the "Visit History" tab, find the reservation that you want to invoice and click the "VIEW" button. This will take you to the Reservation Tool where you can either print the invoice or email it to the guest.
When a guest calls to make a reservation, use the "Add New Guest" button to go to an add form where you can manually add the guest's information. Once in the system, go to the "Contact Information" tab and click the "Create Reservation" button. Again, this will automatically enter their information into a new reservation. You will never have to enter the guest's information more than once and in most cases, the guest will input their own information.
Important Dates:
Get to know your guests and find out the dates that are important to them, such as birthdays and anniversaries. Then use the Reporting Tools to find upcoming events so that you can contact these guests to suggest a return visit for that special day. Let your customers know that they are important to you and that you have taken the effort to keep track of their important dates. For you, it will be as easy as clicking a button once a month and sending them a quick email.
Guest Notes:
Use the "Notes" tab to keep track of important information about your guest. Notes are stored and listed by date and can be searched for through the guest filter. Add a special touch to your business by remebering previous guest requests and medical issues such as food alergies. This extra care will insure repeat visits.
